About the role

Council is seeking to recruit an experienced Executive Assistant to the General Manager Works. This position will offer the opportunity to work at a high level across a variety of functions within Council, including Civil Works, Water & Wastewater, Project Management and Assets, Facilities & Fleet. Acting as the primary point of contact for the General Manager Works, you will provide a high level of professionalism and customer service to both internal and external customers.

About you

You will work effectively to manage time, plan, organise and prioritise your own work, have high attention to detail and ability to perform work with a high level of accuracy. Exercise sound judgement, initiative, confidentiality and sensitivity in the performance of work.

Demonstrated data entry and word processing skills, and proficiency in the use of Microsoft Office Suite (Word, Excel, Outlook, Publisher, PowerPoint), and Council’s Information Management Systems (MagiQ Documents, MagiQ Enterprise), or ability to rapidly acquire same.

You will have a Certificate IV in Business Administration/Local Government or other relevant disciplines or equivalent experience in the workplace and an unrestricted driver’s licence – C class.

Key responsibilities will include, but are not limited to:

  • Provide confidential support and personal assistant functions to the General Manager
  • Liaison with internal and external stakeholders, including other levels of government, business sector and the general public to answer enquiries, arrange appointments and follow up issues on behalf of the General Manager.
  • Research and analyse information to prepare correspondence, reports to Council, agendas and minutes on behalf of the General Manager and to monitor follow up actions.
  • Day to day management of meeting schedules, managing the General Manager’s workflows to ensure milestones are met and prioritising work, in a fast paced and often complex environment with competing deadlines.
  • Organising functions and events involving the Senior Management Team.
  • Assist in the day-to-day management and administration of the organisation through liaison with Council’s Senior Management Team, ensuring timeframes are met and follow-up actions attended to.
  • Coordinate Council’s Meeting Support function by providing high quality, accurate and timely administrative support for Council’s statutory.
  • Provide support to Council’s Senior Management Team Meetings, including the preparation of agendas, preparation of meeting outcomes and attending to any follow up actions.
